Utah weddings are beautiful, unpredictable, and sometimes just a little bit extreme.
This wedding at Hidden Orchards in Santaquin was no exception.
Surrounded by apple trees, beautiful mountain views, and the gorgeous outdoor setting that makes Hidden Orchards so unique, this wedding had all the makings of an incredible summer celebration. There was just one small problem…
Utah decided to issue a heat warning.
And it was HOT.
When the Wedding Timeline Meets a Heat Warning
As a day-of wedding coordinator, my job is to take the plans a couple has spent months creating and make them actually happen.
Sometimes that means managing vendors, setting décor, keeping the timeline moving, and answering approximately 700 questions so the bride doesn't have to.
Other times, it means looking at the weather forecast and immediately starting to problem-solve.
With extreme temperatures expected on the wedding day, the original plan couldn't simply run on autopilot. Guest comfort, the wedding party, food, flowers, and the couple themselves all had to be considered.
The goal wasn't to completely change the wedding.
The goal was to make small, strategic adjustments that allowed everyone to still enjoy it.
Protecting the Couple From the Chaos
One of the biggest reasons to hire a day-of coordinator is simple:
You shouldn't be the person solving problems on your wedding day.
The bride shouldn't be tracking down a vendor.
The groom shouldn't be answering timeline questions.
Parents shouldn't be trying to figure out where something needs to go while also getting dressed for family photos.

That's where I come in.

But outdoor weddings come with one very important requirement:

Rain gets most of the attention when couples talk about wedding weather, but extreme heat can impact a wedding just as much.
Timelines may need to shift.
Setup has to be planned carefully.
Guests need opportunities to get out of the sun.
Vendors have to communicate.
And sometimes, the plan you made months ago needs a few wedding-day adjustments.
A good coordinator doesn't panic when the plan changes.
We figure out what matters most, communicate the new plan, and keep moving.
The Details Still Matter—Even When It's 100 Degrees Outside
Heat warning or not, the wedding still needed to feel like their wedding.
Décor needed to be placed.
Vendors needed direction.
The ceremony needed to run smoothly.
The reception timeline needed to stay organized.
And all of the little details the couple had spent months planning still deserved attention.
Day-of coordination isn't simply showing up with a clipboard and telling people when to walk down the aisle.
It's noticing what needs to happen before someone has to ask.
It's answering vendor questions.
It's fixing small problems before they become big ones.
It's adjusting the timeline when necessary.
It's keeping track of details while everyone else is celebrating.
And sometimes, it's doing all of that while sweating through a Utah heat warning.
